The Project Reporting Officer plays a central role in producing Activity Reports, managing project evidence, and supporting the reporting cycle across RegenCo's carbon and natural capital project portfolio.
This is an early-career role well suited to candidates with 1–3 years of professional experience and a genuine interest in carbon farming, agriculture, pastoralism, or environmental land management. The successful candidate will work closely with the pastoral, fire, technical services, and ecology teams to ensure RegenCo's project documentation is accurate, well-organised, and submission-ready.
This is a permanent full-time position open to candidates based anywhere in Australia.
We support remote, hybrid, and in-office working arrangements, with office locations in Byron Bay and Adelaide.
Prepare and complete Activity Reports using information provided by the pastoral and fire teams via Monitoring Reports, ensuring all documentation is accurate, complete, and submitted on time in line with project deadlines and methodology requirements.
Compile and collate visit data into clear, audit-ready reports and summarise Stocking Rate Index (SRI) reports to support landholder conversations and the reporting cycle.
Track, name, organise, and file evidence in line with RegenCo's documentation standards and naming conventions, maintaining clear and current records of evidence status across all projects.
Follow up with landholders to obtain outstanding evidence in a timely and professional manner, escalating where required.
Support audit preparation and CER Request for Information (RFI) responses through well-organised evidence retrieval and packaging.
Support documentation and reporting for permanence obligations, including the collation of fire activity records, disturbance event evidence, and supporting operational data.
Assist the Manager, First Peoples Partnerships and Fire with the preparation and quality control of permanence-related reporting outputs.
Review existing reporting templates and identify opportunities to streamline, standardise, and automate where appropriate.
Develop and maintain consistent process documentation for recurring reporting tasks across the Operations team.
Work closely with the pastoral, fire, technical services, and ecology teams to coordinate reporting inputs and ensure outputs are accurate and aligned.
Liaise with the GIS and Remote Sensing team to integrate spatial evidence into reporting outputs.
Accompany the team on occasional station visits (typically 2–4 times per year) to support evidence capture, activity documentation, and reporting follow-up.
Ensure all reporting and documentation practices comply with RegenCo's internal standards, relevant carbon project methodology requirements, and CER audit expectations.
Strong administrative and organisational skills with a high level of attention to detail
Excellent written communication skills, with the ability to produce clear, concise, and audit-ready documentation
Proficiency in Microsoft Office and/or Google Workspace, including Word/Docs, Excel/Sheets, and shared file and document management systems
Demonstrated ability to manage competing priorities and deliver to deadlines in a fast-paced, scaling organisation
Confident and professional in following up with internal team members and external stakeholders to ensure timely receipt of information and evidence
Genuine interest in carbon farming, pastoralism, regenerative agriculture, natural capital, or environmental land management
Self-motivated and comfortable working as part of a remote, distributed team
Willingness to undertake occasional travel (2–4 times per year) to project sites across regional Australia
Tertiary qualification in a relevant field (Business Administration, Environmental Science, Agriculture, Land Management, Project Management, or related discipline) is desirable; equivalent practical experience will be considered
Familiarity with carbon project methodologies or regulatory frameworks (HIR, BCHM, SFM, IFLM) is highly regarded but not essential
Experience with document management platforms, reporting tools, or process documentation tools is an advantage
Exposure to audit, compliance, or regulatory reporting environments is highly regarded
